Car dealer CRM

Vincero Inbox, the car dealer CRM for New Zealand yards

Vincero Inbox

Vincero Inbox is an all-in-one inbox for your yard, sourcing every enquiry from Trade Me, your website, Facebook, Instagram, Google, AutoTrader, Need A Car, email, texts and calls. Each one gets a score, an owner and a stage, and stays with the customer through to delivery.

One list

Every enquiry from every channel, in one list

Leads reach a yard from all over: the Trade Me emails, the website form, Facebook, the yard mobile and whoever picked up the phone. Vincero Inbox puts them in one ledger, newest first, each with its source, the car, a score, an owner and a status.

Trade Me
The enquiry emails Trade Me sends you, badged Trade Me. Questions asked in a listing’s public Q&A stay on Trade Me.
Your website
Form enquiries and webchat. Forms on a Vincero dealer website post straight into the Inbox.
Facebook and Instagram
Lead ad enquiries from both, badged with the one they came from.
Google
Enquiries from Google, badged Google.
AutoTrader and Need A Car
Their enquiry emails, badged by the site they came from.
Email, text and phone
Direct email, two-way text on the dealership number, and calls logged with their recordings.

Each lead links to the customer in Vincero DMS, so the thread shows what they’ve bought before and any test drive still open. When an enquiry turns real, convert the lead to a customer from the thread.

Scored as it goes

Lead scoring from 1 to 5, updated on every message

Every enquiry is scored from 1 to 5 when it lands, and scored again each time the customer writes back. A one-line “still available?” and a buyer asking about finance and a Saturday viewing don’t need the same speed of reply, and the score says which is which.

Sort the list by score and the buyers who are ready rise to the top. The score is a guide written by AI from the conversation so far; the salesperson who owns the lead decides what happens next.

The pipeline

A sales pipeline board, from Lead to Delivered

Each deal moves through six stages: Lead, Engaged, Test drive, Negotiating, Sold and Delivered. Open a card and the deal drawer shows the customer, the car and the whole conversation, so whoever picks it up next doesn’t have to ask.

It does the job of the whiteboard in the sales office, kept current by the people working the leads, and it’s on the phone as well as the desk.

Lead management

Owners, queues and a duty roster

Assign each lead to a salesperson straight from the list. Queues keep the rest apart (Leads, Finance, Support, Accounts, Marketing, Management and Spam), so a finance question doesn’t sit behind forty Trade Me enquiries. Status runs Open, In progress, Closed.

The duty roster records who is on, and the Roster Coverage report shows the gaps. Team chat sits in the corner of every screen for the yard’s own back-and-forth, in place of a group chat on personal phones.

Reply from the lead

Reply by email, text or call from the thread

The thread holds the whole conversation with the customer: emails, texts, calls with their recordings, and the internal notes your team adds. Reply from the same place, save a draft, or schedule it to go later.

Vincero drafts a reply from the conversation for the salesperson to check, edit and send. Turn on auto-reply in Inbox settings and a new enquiry gets a first answer without waiting for someone to be free.

Test drives

Test drives booked by link, with the licence captured

Send a test-drive booking link from the lead by email or text. The customer picks from the times you offer, or confirms the one you set, and the booking lands on the Inbox calendar. If they’re new, the customer record is created in the DMS from the booking.

At the drive, photograph the licence on the phone and the details fill in for the salesperson to confirm. The waiver is signed on screen, the odometer is recorded out and back, and the drive stays on the lead.

A salesperson photographs a New Zealand driver licence on the bonnet of a car with the Vincero app; the surname, first names, licence number and version are filled in from the scan.
The licence read from the front on the phone. Name made up.

Questions

Car dealer CRM questions

Does Vincero Inbox pick up Trade Me enquiries?

Yes. The enquiry emails Trade Me sends you land in the Inbox badged Trade Me, with the car and the customer’s question. Vincero doesn’t connect to Trade Me’s listing Q&A, so public questions on a listing are still answered on Trade Me.

Which channels come into the Inbox?

Website forms and webchat; enquiry emails from Trade Me, AutoTrader and Need A Car; direct email; two-way text on the dealership number; phone calls, logged with their recordings; Facebook and Instagram lead ads; and Google. Each lead carries a chip showing where it came from.

How does the lead score work?

Each enquiry is scored from 1 to 5 by AI when it arrives, and scored again every time the customer sends another message. It tells your team who to answer first. The salesperson who owns the lead still makes the call.

What does Vincero Inbox cost?

$199 a month plus GST, with $0 setup. Vincero Inbox is an add-on to Vincero DMS, which starts at $69 a month plus GST for up to 35 vehicles.

Can the sales team use it on their phones?

Yes. The Vincero app on iPhone and Android carries the Inbox: leads, the pipeline board, follow-ups, bookings, replies, calls and recordings, with push notifications.

Do replies go out automatically?

Not unless you turn on auto-reply in Inbox settings. Otherwise Vincero writes a draft reply from the conversation, and a salesperson checks it, edits it and sends it.

How do I see which lead source sells cars?

The Lead Source Attribution report breaks your leads down by channel, and Lead Conversion shows how many became sales. Response Time by Rep and Overdue Leads cover the follow-up. Every report exports as PDF or CSV.
