Today

Today: every open job, ranked by what’s due

The Today tab lists every open job on the yard, prep and after-sales together, ranked by urgency. Each one shows the car, who has it, when it’s due, the estimate, and what’s holding it up.

Above it, a stat band gives the yard in four numbers: cars in prep, average days to ready, cars expired or owing on compliance, and jobs nobody has picked up. A job without an owner is the one that doesn’t get done.

The Prep board

Vehicle prep and reconditioning, from Landed to Ready

A car enters the Prep board at Landed and moves through Compliance, Recon and Media & listing to Ready, with the days counted in each step. The default targets are 2 days landed, 3 for compliance, 4 for recon and 2 for media and listing. A car over its target turns red, so you can see which one is stuck and where.

Every card carries the car’s total days in prep, which is days it isn’t for sale. Ready cars stay on the board for a week so the team can see what has just come through.

Jobs

Yard jobs with proof photos and reminders

Raise a job from the New job bar: find the car by name, stock number or rego, say what needs doing (“Groom, full interior”), add an estimate and pick who has it. A job can carry a held-up reason, such as waiting on parts, so the delay is on the record.

Close a job with a photo from the phone. Jobs can require one, so “done” comes with the proof. Reminders go out before a job is due.

Deliveries and ownership

Deliveries and NZTA ownership filing, tracked to done

Sold cars waiting for handover sit on Deliveries with any money still owing and the handover checklist. The handover job arrives from the sale’s Delivery tab, so the yard knows a car is going before the customer turns up.

After delivery the car moves to Ownership, and stays there until NZTA has the buyer. The same tab sorts the WOF, rego and RUC on every car on the yard into Expired, Due soon and Due later.

After-sales

After-sales bookings and comebacks

Send the customer a link and they pick the location, the day and the time, with closed, full and blocked days greyed out. Confirmations go out by email, with reminders the day before and the morning of, from bookings@vincero.co.nz in your yard’s name. With Operations on, each booking raises a job on the board next to the prep work.

Comebacks are tracked as a case per car: the issue, its severity, the costs, every event and the documents, from the first call to settled.

Report

A prep report: days in each step against target

The Report tab shows the average days each step takes against its target, and the cars that have been in prep longest. If recon averages six days against a target of four, that’s where the next car is going to sit too.

Questions

Vehicle prep and job board questions

What does Vincero Operations cost?

$99 a month plus GST, with $0 setup. It’s an add-on to Vincero DMS, which starts at $69 a month plus GST, and it can be switched on at sign-up or later from inside Vincero.

What are the steps on the Prep board?

Landed, Compliance, Recon, and Media & listing, then Ready. The default targets are 2, 3, 4 and 2 days. A car over its target is tinted red, and Ready cars stay on the board for seven days.

Can the workshop team see jobs without seeing the money?

Yes. The operations manager role works the yard jobs with no access to sales, the Inbox or Reports, and the dealership can hide margins from sales roles as well.

Does Vincero track the NZTA change of ownership?

Yes. Each delivered car stays on the Ownership tab until NZTA has the buyer, so a filing doesn’t get lost in the handover. Where Autocheck is set up, MR13C filing to NZTA is done from the vehicle’s Documents tab.

How do customers book an after-sales visit?

You send a link from Vincero. The customer picks the location, the day and the time, and gets a confirmation by email plus reminders the day before and the morning of. With Operations on, each booking also raises a job on the board.

Does it work on the phone?

Yes. Jobs, proof photos, handovers and after-sales are in the Vincero app on iPhone and Android, and job reminders arrive as push notifications.
